We're on the look out for an Office & Events Manager

We are looking for an experienced Office & Events Manager to join us on a part or full-time basis to help organise our studio and co-working space, welcoming clients and supporting the team with the company’s day-to-day operations. This exciting position will be key in creating and maintaining a dynamic but comfortable work environment, ensuring high levels of efficiency and effectiveness with great communication.

The successful candidate will have experienced in a similar position and will be familiar with a range of software (email, spreadsheets and databases) and be able to accurately coordinate all daily administrative duties with ease. The role will report to the MD and ensure the smooth running of our workspaces while helping to improve company procedures and day-to-day operations.

The role comprises two key areas as follows;

Office Management

  • Welcome and provide general support to visitors
  • Answer and redirect phone calls
  • Manage the calendar and schedule meetings and appointments
  • Plan and arrange travel and accommodation
  • Organise studio supplies, stationery and equipment
  • Manage employee records and maintain internal databases in accordance with GDPR
  • Prepare management team agendas, take minutes and collate reports and presentations when required
  • Organise and develop office management policies and procedures
  • Work with HR to update and maintain office policies, manage staff holiday and sickness
  • Coordinate with our IT provider on systems and equipment
  • Manage & liaise with existing supplier contracts
  • Support the management team with the recruitment process and staff development procedures
  • Plan in-house or off-site activities, like socials, celebrations and events

Event & workspace management

  • Manage our new workshop space, the Brand Society
  • Develop and manage an events programme
  • Deliver the membership growth plan for the Brand Society
  • Curate the space to for all client and external events
  • Front-of-house management and query handling
  • Maintain membership database in accordance with GDPR regulations
  • Support all communications activity for Brand Society
  • Organising catering and general upkeep for the facility

The Candidate

  • 2+ years experience as an Office & Events Manager (or similar) is essential
  • Sound knowledge of office administrator responsibilities, systems and procedures
  • Must be a self starter, able to organise your own workload and have a pro-active attitude
  • Excellent written and verbal communication skills
  • Excellent time management skills and ability to multi-task and prioritise work
  • Strong organisational and planning skills for a fast-paced environment
  • Attention to detail and problem solving skills
  • A creative mind with an ability to suggest improvements
  • Competent IT skills with Email, Microsoft Office (Adobe Creative Suite experience preferable)
  • Ability to produce spreadsheets within Microsoft Excel and Google Sheets
  • Knowledge of basic bookkeeping procedures

Experience

  • Ability to handle sensitive, confidential information
  • Good commercial awareness
  • Experience of using Apple Mac's preferred
  • Relevant qualifications
  • Driving licence / own car
